What are your responsibilities?

As an in-house social secretary, the Operations Administrator Payroll role includes full responsibility for personnel management from A to Z. In addition, you will actively support the team to ensure error-free and efficient payroll :

  •  Management of administrative documents and communications
    • Prepare and manage employment contracts, addenda, documents related to internal mobility and exit documents such as the C4
    • Prepare and regularly update payroll sheets and manage essential documents related to employees' careers
    • Follow up on contractual changes and ensure employee files are up-to-date and legally compliant
    • Print, file and send administrative and social documents (termination letters, alerts, etc.).
    • Managing internal communications through the internal mailbox and preparing and sending Social Risk Statements (DRS)
    • Effectively organize and file documentation and incoming/outgoing correspondence for accurate records
  • Onboarding and departure of employees
    • Plan and organize all steps for integrating new employees, including preparing checklists, internal communications and welcome notes
    • Handling administrative formalities and informing relevant teams when employees leave
    • Provide necessary information and resources (access, materials, documentation) for new employees and communicate with internal stakeholders
  • Follow-up of absences and workplace accidents
    • Enter and follow up on medical certificates, various absences and other justification documents
    • Organize and follow up on medical checks and management of workplace accidents in collaboration with the teams involved
    • Maintain a follow-up system for absences and accidents to produce periodic statistics and reports
  • Payroll management and benefits
    • Managing orders for meal vouchers, eco vouchers and other employee social benefits
    • Handling wage garnishments, assignments and debt mediation in accordance with legal obligations and employee requests
    • Coordinate payroll administration, including preparing and reviewing documentation at the end of the pay period and sending out payroll forms
    • Personnel insurance management, including tracking enrollments and changes
    • Follow up on social documents, such as those related to economic unemployment and suspension of employment contracts
    • Taking administrative steps when changes in employee social coverage occur
  • Operational support and compliance
    • Answering questions from operational employees about administrative aspects of their contract or wages
    • Follow up on phones and emails, particularly through the payroll mailbox, to provide quick and accurate information
    • Support administrative and operational teams in inspections and audits, including collecting and preparing required documents
